Our ethics, in writing

Five principles and ten red lines, signed and published.

Five principles

What we hold to, and what we refuse.

Dignity

Every person is treated as a person, never as a case number.

In practice

  • People share hard details once. Staff at every desk read the record instead of asking again.
  • Screens use plain, respectful words. Records describe needs, never judgments about character.
  • Staff see only what their role requires, so private details stay with the people who need them.

Never

  • We will never design a screen that shames, rushes, or talks down to the person it serves.

Fairness

The same need gets the same care, whoever the person is.

In practice

  • We review suggestions from Optio, the assistant, on a schedule for patterns that favor or disfavor any group.
  • Eligibility rules are written down, versioned, and applied the same way to every person.
  • When someone asks for a decision to be reviewed again, staff can record the request and track it.

Never

  • We will never design Optio to deny, delay, or reduce help on its own.

Transparency

Your organization can see how a decision was reached and who made it.

In practice

  • Every view, change, and approval is written to an audit trail that the organization can read.
  • When Optio flags or drafts something, it shows the facts it used and why it made the suggestion.
  • We publish these statements, date every review, and say plainly when something changes.

Never

  • We will never hide how a decision was reached, or who made it.

Stewardship Leave It Better

We aim to leave each person, organization, and record better than we found it.

In practice

  • We collect only what the work needs, and your organization sets how long each kind of record is kept.
  • Every organization can export all of its data whenever it asks, in formats other software can read, at no charge.
  • We hold each release to one test: it gives staff time back or makes a step safer.

Never

  • We will never hold back an organization’s data to keep it from leaving.
  • We will never keep data past the retention period your organization sets.

Ten things we will never do

These apply to every organization we serve.

  • We will never Sell, rent, or trade your data.

Not to anyone, in any form, for any price.

  • We will never Share data for advertising.

No ad networks, data brokers, or marketing partners.

  • We will never Let automation deny help.

Optio can suggest. Only a person can decide.

  • We will never Use your records to build tools for others.

Your records serve your work, not another company’s product.

  • We will never Use dark patterns.

No tricks, nags, fake urgency, or hidden options.

  • We will never Collect what we do not need.

If the work does not require it, we do not ask.

  • We will never Lock your data in.

You can export everything, whenever you ask, at no charge.

  • We will never Hide how a decision was reached.

Every step and every approver is on the record.

  • We will never Share a record without a recorded yes.

Unless the law requires it, sharing with another organization waits for consent.

  • We will never Ship a release that fails review.

One “no” on the checklist stops the release.
